Accounts Payable Specialist

Location: Adelanto, CA (Adelanto Terminal)
Schedule: Monday - Friday, 8:00 AM - 4:30 PM (some flexibility available)
Pay Rate: $21-$23/hour
Employment Type: Full-Time

Position Summary

We are seeking a detail-oriented and motivated Accounts Payable Specialist to join our team on a temporary basis. The ideal candidate will have strong data entry skills, a solid understanding of Accounts Payable processes, and the ability to work efficiently in a fast-paced, multi-company environment.

Key Responsibilities

  • Process invoices in a multi-company, multi-state environment while collaborating with employees at all levels
  • Review invoices for accuracy, proper documentation, and required approvals prior to payment
  • Obtain necessary approvals for invoice processing
  • Identify and communicate potential chargebacks to appropriate departments
  • Analyze invoices for discrepancies or fraudulent charges and resolve issues promptly
  • Accurately code invoices to appropriate General Ledger (GL) accounts
  • Process and voucher expense reports, check requests, credit card statements, and various invoice types (PO, RO/PO, etc.)
  • Identify taxable items and coordinate vendor corrections when needed
  • Maintain AP spreadsheets, reports, and filing systems
  • Run weekly Accounts Payable reports prior to check runs
  • Prepare and process weekly and off-cycle check runs
  • Coordinate and obtain signatures for payment processing
  • Distribute and mail signed checks as required
  • Support month-end closing activities, including tracking invoice periods and obtaining outstanding invoices
  • Reconcile vendor statements and ensure payments remain within vendor terms

Qualifications

  • Strong data entry skills with a high level of accuracy
  • Highly motivated, goal-oriented, and able to meet deadlines
  • Solid understanding of Accounts Payable processes and its impact on the General Ledger
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Excellent verbal and written communication skills
  • Ability to multitask and work independently in a fast-paced environment
